These Terms and Conditions ("Terms") govern your access to and use of WP Admin Assistant, including the website at wpadminassistant.com and the WP Admin Assistant WordPress plugin ("the Service"). By installing the plugin or subscribing to a paid plan, you agree to be bound by these Terms. If you do not agree, do not use the Service.
The Service is operated by WP Admin Assistant trading as WP Admin Assistant ("we", "us", "our"). References to "you" or "user" mean the individual or organisation accessing the Service.
1. About the Service
WP Admin Assistant is a WordPress plugin that adds an AI-powered chat widget to the WordPress admin dashboard. It scans your WordPress installation and answers questions about WordPress and your specific site configuration using the Claude AI model.
The Service is provided as a SaaS (Software as a Service) on a subscription basis (Free and Pro plans). The plugin itself is distributed via the WordPress.org plugin directory.
2. Eligibility
- You must be at least 18 years old to use the Service.
- The Service is designed for self-hosted WordPress.org installations. It is not compatible with WordPress.com hosted sites, which do not support third-party plugin installation.
- You must have the authority to install plugins on the WordPress site on which you activate the plugin (i.e. you are the site owner or have been granted permission by the owner).
- The Service is not intended for multisite WordPress networks or agency-scale deployments in V1.
3. Free Plan
The Free plan is available at no charge and includes:
- 5 AI-assisted questions per day, reset at midnight UTC
- One site scan on plugin activation
- Access to the chat widget in the WordPress admin
The Free plan is provided as-is and without warranty. We make no guarantees regarding uptime, response accuracy, or availability. The Free plan may be modified or discontinued at any time with reasonable notice. There is no Service Level Agreement (SLA) for Free plan users.
4. Pro Plan
The Pro plan is a paid monthly subscription priced at £19 per month (all prices in GBP, inclusive of any applicable fees). The Pro plan includes:
- 500 AI-assisted questions per day (reset at midnight UTC)
- Daily automatic site rescan (via WordPress Cron)
- Full persistent conversation history
- Extended AI responses
The Pro plan is marketed as "unlimited" on the basis that 500 questions/day exceeds any realistic usage. The 500/day limit is a technical safeguard against system abuse, not an intended restriction on normal use.
Pro plan features are available immediately upon successful payment processing. The Pro plan is per WordPress installation (site token). Each site requires its own subscription.
5. Fair Use Policy
Free plan
The daily limit of 5 questions is enforced server-side. At limit, the chat input is disabled and an upgrade prompt is shown. The limit resets at midnight UTC daily.
Pro plan
At 501 or more requests in a single day, further requests are rejected with an error message until the limit resets at midnight UTC. This is not a suspension.
Sustained usage at or above 500 questions/day for 7 or more consecutive days will flag the account for manual review. We will contact you by email to discuss usage and, if appropriate, offer agency-tier pricing. Accounts are not automatically suspended — we will communicate with you first.
Both plans
The following constitute abuse and may result in suspension:
- Automated bot traffic sending more than 10 requests per minute sustained over any period
- Sharing a single API key across multiple WordPress installations
- Reverse engineering, scraping, or attempting to extract AI model outputs in bulk
- Any use that is designed to circumvent the query limits rather than to use the Service as intended
6. Payment and Billing
- Payment for the Pro plan is processed through Paddle.com Market Limited ("Paddle"), who acts as Merchant of Record. By subscribing, you agree to Paddle's Buyer Terms.
- The Pro plan is billed monthly, in advance. Your subscription auto-renews on the same day each month.
- You authorise Paddle to charge your payment method on file on each renewal date.
- We reserve the right to modify the Pro plan pricing with at least 30 days' advance notice to active subscribers. If you do not agree to a price change, you may cancel before the new price takes effect.
- All payments are in GBP. You are responsible for any currency conversion fees charged by your bank or card issuer.
7. Cancellation and Refunds
- You may cancel your Pro subscription at any time via the Paddle billing portal, accessible from within the plugin's Settings page or from your Paddle subscription confirmation email.
- Cancellation takes effect at the end of the current billing period. You retain full Pro access until that date, after which your plan reverts to Free.
- We do not issue refunds for the current billing period as a matter of routine. Your statutory rights as a UK or EU consumer are not affected. For full details, including the 14-day cooling-off right and discretionary refund criteria, see our Refund & Cancellation Policy.
- If you believe you have been charged in error, contact us within 14 days at contact@wpadminassistant.com and we will investigate.
8. AI Disclaimer — Important
WP Admin Assistant uses artificial intelligence (the Claude AI model) to generate responses. AI-generated answers may be incorrect, incomplete, outdated, or unsuitable for your specific situation.
- The Service is an AI assistant, not a certified WordPress consultant or developer. Answers should not be treated as professional technical advice.
- You are solely responsible for any actions you take based on answers provided by the Service. We strongly recommend verifying important answers independently before making changes to your WordPress site.
- We are not liable for any damage to your WordPress site, lost data, revenue loss, or any other harm arising from acting on AI-generated answers from the Service.
- The AI model's training data has a knowledge cutoff date. Answers about very recent WordPress releases, plugin updates, or security patches may not reflect the current state of the software.
9. Data and Privacy
Your use of the Service is also governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the Service, you consent to the data practices described in the Privacy Policy.
In particular, you acknowledge that:
- Your questions and AI answers are stored in our EU (Ireland) servers for up to 2 years.
- Your site scan data is transmitted to our EU (Ireland) servers with every question.
- You can delete all stored data at any time via the plugin's Settings page.
10. API Key and Security
- On activation, the plugin is issued a unique API key. This key is stored in your WordPress database and used to authenticate requests to the WP Admin Assistant backend.
- You are responsible for keeping your API key confidential. Do not share it, expose it in client-side code, or commit it to version control.
- We are not responsible for any misuse, unauthorized access, or charges arising from the exposure of your API key by you or by a third party who obtained it from your systems.
- If you believe your API key has been compromised, contact us immediately at contact@wpadminassistant.com. We will assist with key recovery following the process described in the plugin documentation.
- The API key is only ever transmitted over HTTPS. It is never displayed in the WordPress admin interface.
11. Service Availability
We aim to maintain high availability of the Service, but we provide no uptime guarantee or Service Level Agreement (SLA) in V1 of the product. The Service may be unavailable due to:
- Scheduled maintenance (we will aim to provide advance notice via email)
- Unplanned outages affecting our cloud service providers
- Force majeure events
We will communicate significant outages via our website and, where possible, by email to registered users. Temporary service unavailability does not entitle you to a refund or credit.
12. Acceptable Use
You agree not to use the Service to:
- Submit abusive, harassing, or illegal content in queries
- Attempt to extract training data, model weights, or system prompts from the AI model
- Use automated means (bots, scripts) to submit queries at a rate that would disrupt the Service
- Share API keys across multiple WordPress installations for the purpose of circumventing per-site billing
- Resell or sublicense access to the Service
- Violate any applicable law or regulation
Breach of this section may result in immediate suspension of your account without refund.
13. Intellectual Property
All content on the WP Admin Assistant website, the plugin code, branding, and associated materials are owned by or licensed to WP Admin Assistant. You are granted a limited, non-exclusive, non-transferable licence to use the plugin and Service for your own WordPress site in accordance with these Terms. You may not copy, distribute, modify, or reverse-engineer any part of the Service.
Questions you submit to the AI assistant remain your own. You retain ownership of any content you submit.
14. Limitation of Liability
To the maximum extent permitted by applicable law:
- Our total liability to you for any claim arising out of or in connection with the Service or these Terms shall not exceed the total fees you paid to us in the three months immediately preceding the event giving rise to the claim.
- We shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to: loss of data, loss of revenue or profits, loss of business, or damage to your WordPress site — even if we have been advised of the possibility of such damages.
- Nothing in these Terms limits or excludes our liability for: death or personal injury caused by our negligence; fraud or fraudulent misrepresentation; or any liability that cannot be excluded by law.
If you are a consumer in the UK or EU, you have statutory rights that these Terms do not affect. Nothing in these Terms is intended to exclude or limit any rights you have under applicable consumer protection legislation.
15. Governing Law and Jurisdiction
These Terms are governed by the laws of England and Wales. Any dispute arising out of or in connection with these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales, except where you are entitled to bring proceedings in your local courts under applicable consumer protection law.
16. Changes to These Terms
We may update these Terms from time to time. We will provide at least 30 days' advance notice of any material changes by:
- Updating the "Last updated" date at the top of this page
- Sending an email notification to active Pro subscribers
- Displaying a notice in the plugin's Settings page (where technically feasible)
If you do not agree to the updated Terms, you may cancel your subscription before the changes take effect. Continued use of the Service after the effective date of updated Terms constitutes acceptance of those Terms.
For non-material changes (e.g. corrections to wording, clarifications that do not alter your rights), we may update the Terms without advance notice.
